Information we use
When you contact us, we receive your name, email address, optional telephone number and message. For a quote or job, we may also need the site address, project requirements, correspondence, agreements, invoices and payment records. Please only include information relevant to your enquiry; do not send bank details, identity documents or sensitive health information through the website form.
We usually receive this information from you. A customer, colleague or appointed representative may provide contact details and project information so we can deal with you about a job. Our hosting and content providers also receive technical information such as IP address, browser details and requested pages when delivering and protecting the website.
Why we use it
Quotes and work: we use information needed to take steps you request before a contract, carry out our contract with you, arrange access, communicate about work and administer payment. If you act for a business customer, we rely on our legitimate interest in managing that business relationship.
General enquiries, service administration, website security and resolving disputes: we rely on our legitimate interests in responding to people, running and protecting our business and establishing or defending legal claims, balanced against your rights.
Tax, accounting and other records required by law: we use the relevant information to meet our legal obligations. Where we ask for consent for a separate optional purpose, we explain that purpose and you can withdraw consent by contacting us. Withdrawal does not affect earlier lawful use.
We use customer contact details for enquiries, quotes and carrying out jobs, not for marketing emails or texts. Contacting us does not subscribe you to a mailing list. The website does not make solely automated decisions about you with legal or similarly significant effects.
Providing an enquiry is your choice. We need your name, a reply address and enough detail to answer it; your phone number is optional. If you do not provide information necessary for a quote or contract, we may be unable to provide that service. We will explain any additional information required by law or contract when we request it.
Who receives information
Website enquiries are stored using Google Firebase/Firestore and sent to our team through our email service. Vercel hosts the website and Sanity supplies its published content and images. These technology providers process information needed to operate their services.
Where necessary for a job or our legal responsibilities, relevant information may also be shared with staff, subcontractors and suppliers involved in the work, professional advisers, insurers, payment or banking providers, and public authorities. We limit sharing to the relevant purpose and do not sell personal information.
Technology providers may process information outside the UK, including in the EEA and United States. Such transfers require UK adequacy arrangements or appropriate safeguards, such as standard contractual clauses with the UK Addendum. Contact us for details of the arrangements applicable to your information and a copy of the relevant safeguards.
How long we keep it
We keep enquiry information for as long as needed to answer the enquiry and deal with reasonable follow-up. If work proceeds, relevant information becomes part of the project record. We retain project, invoice and correspondence records for the periods needed for the work, applicable accounting and tax duties, warranties, insurance and potential legal claims. Records relevant to an active dispute may be retained until it is resolved. We then delete or anonymise information that is no longer needed.
Cookies and analytics
Google Analytics loads only if you choose “Accept analytics cookies”. It helps us understand visits and improve the site, using information such as pages viewed, device/browser details and online identifiers. Google processes this information for analytics; we disable advertising storage, Google signals and advertising personalisation in our website configuration. Our lawful basis for this optional analytics is your consent. Analytics information is retained according to the period needed to assess traffic trends and improvements, within the retention settings of our Google Analytics property. Cookie expiry is separate from the retention of analytics reports. See Google’s privacy information for more about its processing.
You can reject optional cookies and still use the site. Use “Cookie settings” at any time to change your choice or withdraw consent; rejection stops further analytics measurement and clears our Google Analytics cookies. The _ga and _ga_* analytics cookies are configured to last up to 180 days. We save your choice and its date in local storage under ivaron-cookie-choice-v1, solely to remember your preference, and treat it as valid for 180 days. Technical processing needed to deliver and secure the website still takes place. Signed-in content-management services have their own notices.
Your rights and complaints
Depending on the circumstances, you can request access to your personal information, correction, deletion, restricted use or a portable copy. Rights are subject to legal conditions; for example, we may need to retain records required by law.
Your right to object: you can object to processing based on legitimate interests because of your particular circumstances. You can always object to direct marketing. Contact us using the details above.
Our GDPR Policy explains how to make a request or complaint and our response times. You can also complain to the Information Commissioner’s Office (ICO). We will update this notice when our use of information changes.
